About the Archives
The East Stroudsburg University Archives and Special Collections contain records related to the history of ESU since its inception in 1893. The University Archives and Special Collections hold office records, publications, photographs, manuscripts, scrapbooks, rare books and artifacts as they relate to ESU and related subjects.
Located on the ground floor of the Kemp Library, most of the Archives’ collections are open for research to the ESU community and the public. We are available to answer general or specialized research questions and can also assist you during your research visit. Appointments are preferred so that materials can be pulled in advance. How can we help?
We welcome walk-ins and appointments during the week from 9am-4pm from members of the ESU community and the general public. The Archives is available to answer any general or specialized research questions about the history of ESU since its inception in 1893. - reviewing and accepting donations;
- scheduling a class using Archives and Special Collections materials;
- tours in the Archives and Special Collections and more!
Transfer University Records
The University Archives and Special Collections acquire selected University records,
both paper and electronic, to document the development and growth of ESU since its
inception in 1893 to the present day.
All material of enduring value, when no longer in current use in the department or office to which it pertains, should be transferred to the University Archives.
Transferring Procedures
Physical Records
- Consult with the Archivist and Special Collections Librarian Elizabeth Scott on potential records of transfer.
- Arrange files in boxes in the order in which they were arranged in your file drawers.
- Inventory each box for its series or file titles. Include dates and correct identification of material (papers, compact discs, etc.). Mark if restricted access.
- Insert one copy of the inventory in the first box and retain one copy for your files.
- Place a work order with Facilities Management to have boxes moved to the University Archives.
Electronic Records
- Please contact the Archives to arrange for an electronic records transfer.
The following is not an exhaustive list. Should you identify any records in your department or office that you think might be permanent, please consult with Archivist and Special Collections Librarian Elizabeth Scott before transfer.
Do Transfer
- Primary papers of the President, Provost, Vice-Presidents, and Deans’ offices
- General office files: correspondence and memoranda and subject files concerning projects, activities, and functions relating to the business of the University. Please include photographs, slides, films and audio or video tapes.
- Departmental publications: newsletters, newspapers, yearbooks, literary magazines, brochures, posters, and course syllabi
- Faculty, staff, alumni, and student publications: authored monographs, reprints, offprints
- Annual reports from university and other offices
- Minutes: Faculty, committee, and department meetings
- Student organization records: minutes, publications, and photographs
Important Note: Please document audio-visual materials, including the names of events and persons involved, title of the work, names of the creators, location, and date.
Do Not Transfer
- Purchase orders, office supply orders
- Travel vouchers
- Expense reports
- Checks or checkbooks
- Receipts
- Phone message logs
- More than two copies of each item
Donations
The University Archives relies on the transfer of records from offices and departments
but also heavily on donations from alumni and the community. We are interested in
donations of rare books, manuscript collections, institutional records, photographs,
audiovisual materials, oral histories, electronic records, artwork and artifacts.
In general, items in the University Archives relating to the following areas are accepted:
University History with an emphasis on:
- Board of Trustees
- Presidents
- Departmental records
- Faculty papers
- Publications
- Athletics
- Students and alumni
Additionally, if there are collections that relate to the general history of the area, they will be considered. Examples of such collections could be those related to Tocks Island and Monroe County history.
Materials donated to the University Archives will be used to support the teaching, research and exhibition activities of East Stroudsburg University and the broader academic community. Please contact Archivist and Special Collections Librarian Elizabeth Scott to discuss your donation.
