Job Process |
| Initial
meeting |
Meet with the
Graphics Center Supervisor to discuss the job. Who is your audience?
What do you need to communicate with them? What is your budget?
Do you have ideas as to actual items you would like to use in promoting
your program, club, event etc.? What are your deadlines? Do you
need for your job to be delivered somewhere on campus, or can you
pick it up in the Graphics Center? These are the some questions
you can ask yourself to prepare for this initial meeting. The next
three topics below-price quote, timeline & submission requirements-will
be discussed at this initial meeting. |
| Price
Quote |
You will receive
a cost estimate as soon as the Graphics Center can determine the
costs of your job. Some jobs can be quoted at the initial meeting,
while other jobs will need research into cost of materials or services
to be used in producing your job. In either case, you should receive
your quote within two days or less of the initial meeting, and you
are under no obligation to proceed with the job if the cost exceeds
your budget or expectations. |
| Timeline |
A
timeline for your job will also be discussed at the initial meeting,
before the Graphics Center begins work on your job. Obviously, the
amount and type of work that your job entails will influence how
fast it can be completed. The Graphics Center processes jobs on
a first come first served basis, so the amount of jobs, and the
amount of work each of those jobs will entail needs to be taken
into consideration at the time your job is submitted to the Graphics
Center for production. Some jobs may require the use of products
that need to be special ordered, or the services of vendors off
campus, in which case these factors also need to be taken into consideration.
At minimum, the timeline will provide you with a date when you can
view a proof, and the date the entire job needs to be fully completed.
The Graphics Center will provide a proposed timeline for your job;
just as with the price quote, if we cannot supply your job as fast
as you require, you are under no obligation to proceed with the
job. The timeline may also involve you providing something to the
Graphics Center. For example, if you are ordering T-shirts, you
will need to provide the Graphics Center with the sizes of the T-shirts;
even if the Graphics Center has completed the design work, the T-shirts
cannot go into actual production before we know sizes and quantities
of shirts you require. |
| Submission
Requirements |
In
other words, beyond accepting the price quote and time line, what
the Graphics Center needs for you to provide in order that we may
begin production on your job. The submission requirements will vary
according to each job. For example, for a flyer promoting a bingo
game on campus, all you would need to submit is information such
as the date of the event, what the event is called, time and place
of the event. However, if your job is a six panel brochure, you
will need to provide text and possibly photos. If the Graphics Center
does not have everything needed to begin your job, the supervisor
will ask for whatever is needed from you to complete the job submission. |

Submitted |
You have accepted
the quote and proposed timeline and submitted any other text, information
or materials you were asked to submit. Contacting the Graphics Center
for information is not the same thing as submitting a job. For example,
you may have had an initial meeting with the Graphics Center supervisor
where you asked for a six panel brochure. The supervisor may have
given you a proposed timeline which included a first proof 10 days
after the submission of the job, and may have determined that in
addition to the brochure text, you needed to submit 3 photos that
you wanted to appear in the brochure. If it took you 8 days to provide
the Graphics Center with the text and photos, your job was not yet
considered submitted during that time period, and the timeline will
need to be re-evaluated in light of the work load in the Graphics
Center at the time of submission. |
| First
Proof |
You always
have the opportunity to view a proof, and request any changes which
need to be made. If your proof is available ahead of deadline, you
will be contacted by phone or email, otherwise you can simply stop
by the Graphics Center on the date your first proof is due. You
can review your proof "on the spot" if you wish, or take
it for review at your leisure, to show to a committed or club or
others for review etc. Once you have reviewed your proof, you can
either sign and date the proof approval/changes sheet, or submit
changes. |
| Changes |
The
time to make some changes is built into the initial timeline of
the job. For most jobs, changes take far less time than the initial
design work needed to generate a first proof. Sometimes, changes
are even made in less than 24 hours from when the proof is returned
with changes indicated. However, if extensive changes are needed,
the timeline and even price quote may need to be revised. |

While
some jobs are approved after one or two proofs, large complex jobs
might need a series of proofs, which is also built into the initial
timeline of the job. 2nd, 3rd or further proofs repeat the same
process as the first proof. |

Approval |
Once a proof
has been approved, production can begin. Production time will have
already been discussed and included in the time line of your job. |
| Delivery |
Even
if outside vendors were involved in the production of your job,
you need not go off campus! All jobs can be picked up from the Graphics
Center upon completion. (If you need your job delivered somewhere
on campus, please let the Graphics Center know that when the job
is still in production so that we can make the necessary arrangements.) |
| Invoicing |
Design
jobs for campus organizations are not invoiced until the job is
complete. Only personal jobs, or jobs for non-recognized organizations
need to be paid for before they can be picked up or delivered. You
can pay your Graphics Center invoice the same as your organization
pays any other invoice or bill. |
